The Position
This is a key role supporting the Support Services Team to deliver excellent service to both our fee earners and clients. As a Support Services Trainee you will provide support in ensuring the accuracy of the information held in our General Practice Management system, manage the Support Services outlook inbox as efficiently as possible and ensure that the information added to our client template letters is accurate.
In recognition of this position being key to the team, you will receive support and training to develop your knowledge within administration. You will gain an understanding of how you can provide essential support to various departments within Dunkley’s Chartered Accountants.
General Responsibilities:
- Assisting with managing the Support Services inbox, you will ensure that both internal and client facing emails are dealt with promptly.
- Ensure that the company’s data management system holds accurate and current information and that unwanted documents are removed in a timely manner.
- Add and ensure the information used to populate template letters for clients is accurate and all documents are sent to client within specified timelines.
- Ensure that all documents received are filed correctly and are easily retrievable as required.
- Communicate with colleagues and clients using clear and professional language, prepare and review written documents/emails accurately and completely, and answer telephones using appropriate etiquette.
- Develop and maintain positive working relationships with others, support the Support Servies Team to reach its’ common goal and listen and respond appropriately.
- Support the broader Support Services Team as required, including covering reception, greeting clients and the provision of refreshments as required.
- Support the broader business with marketing as required from time to time, for example event organising and sending guest invitations.
- Undertake any other duties commensurate with this level of position as requested by the Directors of the company or any one to whom this responsibility is delegated to by the Directors.
Essential Qualifications
- Hold Maths GCSE and English GCSE minimum grades C / 5 or above.
- Have a good working understanding of all Microsoft packages.
- Be resilient and have demonstrable ability to work under pressure and to deadlines.
- Be able to form good professional collaborative relationships with clients and colleagues
